Why coordination matters

A fit-out is a business decision before it is an engineering one

A commercial project is judged on three things: the programme, the cost and the environment it hands over. Every building service bears on all three. Air conditioning shapes ceilings, riser space and landlord negotiations. Ventilation needs ducts, fresh-air routes and acoustic care. Lighting drives circuits, controls and ceiling coordination, and emergency lighting has statutory obligations attached. Data networks, structured cabling, audiovisual systems, access control and building controls each add their own cabling, equipment rooms, power and cooling, all of it fighting for ceiling voids and riser space the base build never has enough of.

When each of those systems is procured on its own, or brought in after the design is fixed, the project pays for it twice. First in the tender, where quotations built on different assumptions cannot be compared and the gaps between packages go unpriced. Then on site, where ceilings refuse to close, change orders erode the contingency, and the programme slips while the trades argue over space nobody coordinated on a drawing.

Appointing one team to lead and coordinate the whole building-services package changes that arithmetic. Every discipline is designed against the same architectural information, the same landlord constraints and the same programme, so conflicts surface on drawings, where they cost a revision, rather than on site, where they cost money and weeks. Comfort that survives full occupancy

The mechanical package spans heating, cooling and air conditioning, fresh-air supply, extract ventilation and heat recovery where the building supports it. Designing those systems properly means resolving what surrounds them just as carefully: plant positions and heat rejection, duct and pipework routing, condensate drainage, zoning and controls, acoustic treatment, and the maintenance access that keeps the installation serviceable for its whole life.

In commercial buildings the hard questions are rarely about the equipment itself. Where can condensers actually go when the roof, the lightwells and the landlord's plant areas are all spoken for? Does the base building have the cooling and fresh-air capacity the new layout demands, and if not, what is the honest way to bridge the gap? How do diffusers sit in a feature ceiling? How is a restaurant's kitchen extract routed, and how is it kept out of the neighbours' windows? We answer those questions on drawings, coordinated with the structure, the interiors and the landlord's requirements, kitchen-extract systems developed with the specialist kitchen designer where one is appointed.

Electrical design & power distribution

The electrical design is the quiet backbone of commercial premises. Our scope covers supply and capacity assessment against the landlord's provision, main and sub-distribution with a clear distribution-board strategy, general and small power for desks, meeting rooms, teapoints and front-of-house areas, dedicated supplies for kitchens, comms rooms and plant, sub-metering so energy use can actually be seen, containment routes, earthing and surge protection, and the power that lighting, mechanical, AV, security and network systems all depend on.

We design spare capacity in the honest sense: appropriate headroom in distribution, containment and cabling routes for reasonably foreseeable change, another row of desks, a new teapoint, a meeting room that becomes two, without promising to predict every technology that may arrive. Wiring layouts, circuit schedules and distribution-board schedules form part of the tender information, so contractors price the same installation. General & emergency lighting · Lighting control

Lighting for work, hospitality and the escape route

Commercial lighting has to do several jobs at once. In workplaces it must be comfortable for screen-based work, coordinated with the ceiling and honest about glare. In hospitality it is the atmosphere; a restaurant at lunch and the same room at ten in the evening are two different lighting designs sharing one ceiling. We design the general lighting, the accent and architectural layers, and the control strategy that binds them: zoning, scenes, occupancy response, daylight dimming and time schedules, kept simple enough that staff actually use them.

Emergency lighting is designed into the same layouts from the start: escape routes, open areas and exits covered, fittings positioned to the relevant standards and documented so the completed installation can be tested and maintained. Treated as an afterthought, emergency lighting punctures finished ceilings; designed alongside the general lighting, it disappears into them.

Data networks, Wi-Fi & structured cabling

The infrastructure every other system stands on

Most businesses notice their network only when it fails, usually in the first week in the new space. We design the data network and Wi-Fi around how the premises will actually be used: coverage and capacity for the working areas, guest access where hospitality demands it, and wired connections where reliability matters more than convenience.

Beneath it sits the structured cabling: the low-voltage backbone that AV, security, building controls and telephony increasingly share. The design covers outlet quantities and positions, cabling routes and containment, comms-room location, layout, power and cooling, patching strategy and the testing and certification expectations written into the tender information. Comms rooms are a classic coordination failure on commercial projects, too small, too hot and too late. Placing them correctly at design stage costs nothing; moving them at fit-out stage rarely does.

Audiovisual & meeting-room technology

Meeting rooms that work on the first call

Video conferencing is now the most heavily used technology in most offices, and the most complained about. We design and coordinate meeting-room AV and video-conferencing systems, boardrooms, presentation and town-hall spaces, background audio for hospitality and retail, and digital displays, displays, cameras and microphones positioned for the room rather than the brochure, equipment locations with power and cooling, structured cabling and containment, and acoustics considered before the glass partitions are ordered.

Because the AV is designed alongside the mechanical and electrical services, its power, data and ventilation appear on the same coordinated drawings, not as a late instruction to a contractor who has already closed the ceilings. BMS, automation & security coordination

Control and security, designed in proportion

A building management system: the BMS: monitors and controls the plant: heating, cooling, ventilation, metering and alarms, visible from one place instead of a dozen panel doors. We design the controls strategy and the points, interfaces and metering behind it, sized to the building rather than to a product catalogue: a single restaurant needs far less than a multi-floor office, and a system nobody can operate is worse than none. Energy visibility is a first-class requirement, not a bolt-on, sub-metering and sensible trend data give facilities teams the evidence to run the building well. Security is a coordination discipline on our projects: we coordinate access control, CCTV and intruder-detection requirements with the client's security advisers and the specialist installers: door-hardware interfaces, reader and camera positions, power, data, containment and the interaction with fire-alarm and escape strategies, so the security package lands in the same coordinated drawings as everything else, rather than arriving on site as a surprise.

CAT A, CAT B & the base building

Landlord and base-build coordination, in plain English

Most Central London fit-outs happen inside someone else's building. CAT A is the landlord's base specification, raised floors, ceilings and primary mechanical and electrical services distributed for open-plan use. CAT B is the occupier's fit-out: the partitions, meeting rooms, teapoints and technology that make the space theirs. Between the two sits the work that decides whether a project runs smoothly: connecting to and adapting the base-build systems, checking their capacity against the new layout, and obtaining the landlord's technical approval for the changes.

We handle that interface as part of the design: reviewing the CAT A information and record drawings, testing the proposed layout against the base building's real capacity, designing the adaptations, and preparing drawings and specifications suitable for review by the landlord's consultants and managing agents, then responding to their comments until consent can be given. The same thinking serves landlords in the other direction: we design CAT A and base-build service upgrades that make lettings straightforward, from a single floor in a City of London building to a refurbishment across several.

A coordinated design has to reach the contractor as coordinated information, or the coordination never happened. Our packages are produced in AutoCAD and Revit and carried through BIM coordination: MEP layouts, reflected ceiling plans agreed with the architect and interior designer, wiring and containment layouts, plant and riser drawings, equipment schedules, builders' work information, installation details, clash reviews and tender documentation, kept aligned with the design team's information from first issue to construction.

For the people paying for the project, the value shows up in the numbers: spatial conflicts found while they are still drawing revisions, tender returns built on the same assumptions and therefore genuinely comparable, fewer change orders, a protected design intent and a programme with fewer unknowns in it. No consultant can promise a site without surprises; the job of coordination is to make the surprises small, rare and cheap.

Tender information is where design quality turns into commercial value. Drawings, equipment schedules, specifications and clear scope descriptions let contractors price the same job, so quotations can be compared line by line, gaps between packages are visible before they are bought, and the cheapest number can be examined rather than simply believed. Where included in the appointment, we review the returned quotations with the project manager or QS and set out the genuine differences.

During construction: again, where the appointment includes it: we answer technical queries, review installation on site, attend progress and coordination meetings, and coordinate commissioning: the structured process of setting systems to work and proving they perform as designed. At handover we define the record information, operating and maintenance documentation and demonstrations the client should receive, so the facilities team inherits a building it can actually run.

A Soho restaurant and a Westminster office share almost none of their requirements, except that in both, much of the value of coordinated MEP design lies in resolving exactly these constraints before they reach site.

Frequently asked questions

What does a commercial MEP consultant do?+

MEP stands for mechanical, electrical and public health: the building services that make commercial premises work: heating, cooling, ventilation, power, lighting, water and drainage, together with the technology systems modern businesses depend on. A commercial MEP consultant designs those services around the architecture and the way the business operates, coordinates them with one another and with the base building, and produces the drawings, schedules and specifications contractors need to price and build the work accurately. Unlike an installation contractor, a consultant's role is design, coordination and protecting the client's interests, not selling a particular product.

What is included in a commercial MEP design package?+

It depends on the agreed scope, but a complete package typically covers mechanical design (air conditioning, heating and ventilation), electrical design (power and distribution), general and emergency lighting, lighting control, data networks and structured cabling, audiovisual systems, security and access-control coordination, BMS and automation, and public-health design where included, all coordinated in AutoCAD drawings and Revit models with equipment schedules, specifications and tender information. The appointment defines the final deliverables; nothing is included by default that the project does not need.

When should we appoint an MEP designer for an office fit-out?+

Before the space plan is frozen, ideally. Meeting rooms, teapoints, comms rooms and open-plan densities all drive cooling, ventilation, power and cabling, and every service competes for the same ceiling voids and risers. Early appointment means the test fit is checked against what the base building can actually support, landlord conversations start with real information, and the budget reflects the true scope. Appointed late, an MEP designer can only document decisions that have already been made, including the expensive ones.

What is the difference between a CAT A and a CAT B fit-out?+

CAT A is the landlord's base specification, typically raised floors, ceilings and primary mechanical and electrical services distributed for open-plan use. CAT B is the occupier's fit-out: partitions, meeting rooms, teapoints, AV, security and everything else that makes the space theirs. For building services, CAT B means adapting and extending the CAT A systems: moving diffusers, rezoning controls, adding power and cooling where the layout demands it, and demonstrating to the landlord that the base building can support the changes. Our design work covers exactly that interface.

Do we need landlord approval for MEP alterations?+

On leased premises, usually yes: most leases require the landlord's consent to alterations, often formalised through a licence for alterations, and the landlord's technical team will expect drawings and specifications to review. We prepare design information suitable for that review, respond to technical comments and coordinate with the landlord's consultants and managing agents. The formal consent process itself is a matter for your lease and your legal advisers; our role is making sure the technical submission stands up.

Can you work with our architect, interior designer and fit-out contractor?+

Yes; it is how we prefer to work. We treat the architectural and interior-design intent as a constraint to protect, coordinate our information with theirs, attend design-team meetings where useful, and answer contractors' technical queries directly. Much of our role is translating between the design team, the landlord's consultants, specialist suppliers and the contractor, so decisions are made once, on drawings, rather than repeatedly on site.

Can you review a design produced by someone else?+

Yes. We review existing mechanical, electrical or technology designs: including design-and-build contractors' proposals: against the brief, the architecture, the base building and buildability. The review identifies spatial conflicts, missing coordination, unclear scope, gaps between packages and quotations that are not genuinely comparable, and we issue clear comments and mark-ups the team can act on. On some projects that review is the whole appointment; on others it is the start of a larger role.

What tender information do you produce?+

Drawings, equipment schedules, specifications and scope descriptions that let contractors price the same job, which is the point. Vague tender information produces quotations that cannot be compared and disputes that surface later as variations. We define what is in each package, how systems interface, what standards of workmanship and testing are expected and what must be handed over at completion, and, where included in the appointment, we review the returned quotations so the differences between them are visible before a contract is signed.

Do you design meeting-room AV and video conferencing as well as MEP?+

Yes, technology is part of the package, not an afterthought. We design and coordinate meeting-room audiovisual and video-conferencing systems, presentation spaces, background audio and the supporting infrastructure: displays, cameras, microphones, equipment locations, structured cabling, power, cooling and acoustically sensible room layouts. Designing AV alongside the mechanical and electrical services means the power, data and containment are on the same coordinated drawings, so the rooms work on day one rather than being retrofitted after handover.

Do you provide installation as well as design?+

AVC is a design-led consultancy that also delivers and commissions systems on selected projects. Design appointments stand on their own: many clients appoint us for design and coordination only, with installation tendered to specialist contractors, and some disciplines are always delivered by specialist suppliers we coordinate rather than replace. Where delivery is included, it is agreed explicitly in the scope of the appointment.

Can you support phased works in occupied buildings?+

Yes. Much of our commercial work involves premises that stay open while the work happens, offices refurbished floor by floor, restaurants and hotels that cannot simply close. The design reflects that reality: sequencing, temporary services, out-of-hours working, noise-sensitive activities, protection of existing systems and coordination with building management. A phased project needs those decisions made in the design, not improvised on site at the occupier's expense.

How is the design fee determined?+

By scope, not by formula. Send whatever information exists: test fits, lease plans, CAT A drawings, surveys, photographs or simply a description: and after reviewing it, with an optional discovery call, we prepare a written proposal describing the recommended scope, deliverables, assumptions and professional fees.
