Every organisation recognises the symptoms: the meeting that starts eight minutes late while someone hunts for the right cable, the hybrid participants who can neither hear nor be heard, the boardroom nobody books because nobody trusts it. The cost is not the hardware; it is senior people's time, client impressions and the slow erosion of confidence in hybrid working itself.

The cause is rarely one bad product. It is an uncoordinated room: technology chosen in isolation from the acoustics, the lighting, the furniture, the power and the network it depends on. A camera cannot compensate for a window behind the table; the best microphones faithfully reproduce ventilation noise; a superb room system on an unprepared network drops calls.

Our approach is different because we are a building-services consultancy first. We design the meeting room as one coordinated environment: platform, hardware, acoustics, lighting, power, containment, network and furniture interfaces together, as a standalone appointment or as part of our wider workplace MEP and technology design service. Microsoft Teams Rooms

Dedicated room systems running Microsoft's Teams Rooms software on Windows or Android. The room has its own calendar, meetings join with one touch, and estates are managed centrally, the natural choice for Microsoft 365 organisations.

Zoom Rooms

Zoom's room-system experience: a Zoom Rooms Controller on the table, certified hardware in the room and central management through Zoom Device Management. The same one-touch simplicity, native to Zoom.

Crestron Flex

Crestron's conferencing family: tabletop devices, video-bar room kits, integrator kits and upgrade kits for huddle rooms through to boardrooms, available for native Microsoft Teams Rooms or Zoom Rooms deployment and managed through the XiO Cloud service.

One practical detail matters at procurement stage: Crestron Flex kits are ordered for a specific platform, -T variants run Microsoft Teams Rooms software, -Z variants run Zoom Rooms software, so the family supports both platforms, while each installed system runs one natively. Some models add a BYOD switch mode, letting a laptop use the room's camera and audio for other platforms. Huddle rooms

Standard meeting rooms

The workhorse four-to-eight-person rooms where consistency matters most: the same controller in the same place, dependable audio, a camera that frames everyone, and a scheduling panel at the door.

The user experience

Walk in, touch once, start the meeting

The benchmark for a well-designed room is simple: anyone in the business can walk in and join their scheduled meeting with one touch on the room controller. No cables, no source hunting, no calling IT. Both platforms support this natively; the meeting is on the room's calendar, the controller shows it, one touch joins it, and everything else in the room is designed to protect that simplicity.

Cross-platform meetings are handled deliberately rather than hoped for. On Microsoft Teams Rooms, joining a Zoom or Webex meeting from the room uses Microsoft's Direct Guest Join feature, which must be enabled and relies on a correctly formatted invitation, so we configure and test it as part of commissioning where it is in scope, rather than leaving your reception team to discover the gap during a client call.

The commercial payoff is measurable in behaviour: meetings start on time, rooms are trusted and therefore used, and the support requests that follow every fit-out shrink to a fraction, because there is simply less for users to get wrong.

In the room

Displays, cameras and audio chosen for the space

Hardware is selected for the room, not from a favourite price list. Display size and mounting height follow the table and the viewing distances; single or dual displays follow how the organisation uses content alongside people. Cameras are positioned to frame the table naturally rather than surveil it. Microphone and speaker design: tabletop or ceiling, follows the room's size, finishes and furniture, because clear audio, not video, is what makes a call usable.

Just as much design effort goes into what you do not see. Equipment lives in credenzas, joinery or nearby cabinets with proper ventilation and access; tables stay cable-free through considered floor-box and containment design; wall plates, grilles and devices align with the interior. The power and containment behind this is coordinated with our commercial electrical design work, so the fit-out drawings agree with the technology from the start.

Sharing content

Wireless presentation, with a wired fallback

Most meetings involve content as well as faces. We design each room so that sharing a screen is as quick as joining the call, wireless presentation for the people who live in the building, and a clearly-presented wired input for the visitor whose laptop refuses to cooperate five minutes before a pitch. Content shared in the room carries into the video call, so remote participants see what the room sees.

The detail that matters is predictability. One sharing method per room standard, the same in every room, labelled the same way, not a different dongle and a different ritual on every floor. Guest sharing is designed with your IT security policy in mind, so visitors can present without ever touching the corporate network.

Booking & scheduling

Room availability at a glance

A scheduling panel beside the door answers the two questions people actually ask: is this room free, and until when? Availability is visible before anyone opens the door, ad-hoc bookings happen at the panel rather than back at a desk, and the double-booked stand-off outside the glass becomes a thing of the past.

We typically specify Crestron's room scheduling touch screens, the TSS-770 and TSS-1070, in the variant that matches your platform: running the Microsoft Teams panels app for Teams estates or the Zoom Rooms scheduling application for Zoom estates. Crestron's standard scheduling application also integrates with calendars including Microsoft Exchange, Microsoft 365 and Google Calendar. Panels are wired, powered and mounted as part of the coordinated design, so they arrive with the fit-out rather than as an afterthought stuck to the glass.

The room as an instrument

Acoustics and lighting decide how you look and sound

Remote participants never experience your room, only what its camera and microphones report. That makes the room itself part of the system. Reverberant glass boxes make speech hard work; background noise from ventilation, which occupants stop hearing within minutes, is delivered at full strength to everyone remote; a bright window behind the table defeats any camera. As building-services designers we address these at source, finishes and furniture that tame reverberation, ventilation designed and attenuated with the room's use in mind, and layouts that put windows to the side of the camera, not behind the participants.

A well-lit face and a quiet room do more for how your business presents on camera than any upgrade to the equipment.

Lighting deserves the same discipline: even illumination on faces, controlled glare on displays, and automated shading that manages daylight through the day, ideally scene-controlled with the room, so 'start meeting' can set light and blinds together. We design this alongside our workplace lighting and shading work, and integrate room technology with lighting, shading and environmental controls where the project includes them.

Beneath the surface

Rooms are only as dependable as their network

Video calls are real-time traffic on your data network, and they fail in ways users describe as 'the room not working'. Dependable rooms therefore start below the floor: quality-of-service configuration so calls are prioritised over bulk traffic, switch capacity and Power over Ethernet budgets for panels and devices, sensible network segregation for room systems, and security arrangements agreed with your IT team rather than imposed on them.

We design this infrastructure as part of the room standard: structured cabling, patching, switching requirements and device addressing, and coordinate it with our wider network and Wi-Fi infrastructure design where the project includes it. Clean, resilient power and containment routes are scheduled on the same coordinated drawings, so the electrical contractor, the data contractor and the AV installer are building from one set of information instead of three.

Meeting-room standardisation

Design one room well, then repeat it faithfully

The organisations happiest with their meeting rooms are the ones that standardised. We develop a room standard for each size of space: huddle, standard, boardroom: covering hardware, layouts, mounting details, cabling, labelling and configuration, recorded in AutoCAD and Revit drawings, schedules and clear tender documentation. Whether the estate is six rooms on one floor in Fitzrovia or forty rooms across a City of London headquarters, every room is then an instance of a design, not a fresh improvisation.

The benefits compound. Users learn the rooms once. Support teams troubleshoot one known design instead of a museum of one-offs. Procurement consolidates, spares become interchangeable, and the next fit-out phase inherits a proven standard instead of starting again. For multi-site occupiers, the same drawings travel to the next building.

After the first call

Monitored remotely, fixed before the meeting

Meeting rooms are operational infrastructure, and modern platforms make them manageable as such. Crestron Flex systems are provisioned, monitored and managed remotely through Crestron's XiO Cloud platform, so issues are often resolved before anyone walks into the room. Microsoft Teams Rooms estates with Pro licences add the Teams Rooms Pro Management portal; Zoom Rooms are administered through Zoom Device Management in the Zoom web portal. A camera that lost its connection overnight raises an alert, not a failed 9 a.m. board call.

We design the management arrangement alongside the rooms: which platform monitors what, who receives alerts, and how firmware and software updates are handled without disturbing the working day. Some capabilities depend on the licences your organisation holds, and we set those implications out plainly during design. Where the appointment includes it, we provide ongoing remote monitoring and support ourselves, scoped and agreed explicitly, never assumed.

Commissioning, training & handover

Proven working, then handed over properly

A room is not finished when the equipment powers on. Where commissioning is included in the scope, every room is tested the way it will be used: scheduled meetings joined from the controller, audio levels set for the space, cameras framed, content sharing proven wired and wireless, scheduling panels live against the real calendar, and cross-platform joining verified where configured. The result is recorded, room by room, so handover is evidence rather than optimism.

People are commissioned too. We run short, practical training sessions for the teams who live with the rooms, assistants, front-of-house, IT and facilities: and hand over concise documentation: room standards, as-installed drawings, configuration records and a plain-English guide to the everyday functions. Good handover is why the support phone stays quiet.

Microsoft Teams Rooms is Microsoft's software for dedicated meeting-room systems, running on purpose-built hardware rather than on someone's laptop. The room has its own calendar and identity, so scheduled meetings appear on the room controller and start with one touch. Platform variants run on Windows or Android, and hardware that passes Microsoft's certification programme carries the designation Certified for Microsoft Teams. For an organisation working in Microsoft 365, a Teams Rooms deployment gives every meeting space the same dependable join experience, native to the tools people already use.

What are Zoom Rooms?+

Zoom Rooms is Zoom's room-system experience: dedicated hardware that turns a physical meeting space into a first-class Zoom participant. A Zoom Rooms Controller on the table starts and manages meetings, a scheduling display outside the room can show availability, and Zoom Rooms Appliances combine camera, microphones, speakers and compute in certified all-in-one devices. Devices are managed centrally through Zoom Device Management (ZDM) in the Zoom web portal. For organisations that standardise on Zoom, the result is the same one-touch simplicity in every room, at every size of space.

What is Crestron Flex?+

Crestron Flex is Crestron's family of conferencing systems: tabletop conference devices, video-bar based room kits, integrator kits and upgrade kits, covering spaces from small huddle rooms to boardrooms. Each kit is supplied for a specific platform: -T variants run Microsoft Teams Rooms software and -Z variants run Zoom Rooms software, so the family supports both platforms while each installed system runs one natively. Flex systems can be provisioned, monitored and managed remotely through Crestron's XiO Cloud service, which matters when you are operating rooms across an estate rather than one at a time.

Can one room system run both Microsoft Teams and Zoom?+

Not natively at the same time; a Crestron Flex system is ordered as either a Teams Rooms or a Zoom Rooms device. There are practical routes to cross-platform meetings, though. On Teams Rooms, Microsoft's Direct Guest Join feature allows joining Zoom or Webex meetings from the room, provided it is enabled and the invitation is correctly formatted. Some Flex models also offer a BYOD switch mode, letting a laptop drive the room's camera and audio for any platform. We design the approach around how your organisation actually meets, then configure and test it during commissioning where that is included in the scope.

What licences do Microsoft Teams Rooms require?+

Each Teams Rooms system needs a room licence: Microsoft Teams Rooms Basic or Microsoft Teams Rooms Pro. Basic is free with a certified Teams Rooms system, is capped at 25 rooms per organisation and cannot licence Teams panels; Pro adds advanced management through the Teams Rooms Pro Management portal, together with capabilities such as Front row and dual-screen support. The older Standard and Premium licence names are legacy and no longer used. Licensing is an operating decision as much as a technical one, so we set out the implications for your estate during design rather than leaving them to be discovered at rollout.

What does certified hardware actually mean?+

Both platforms run formal hardware programmes. Devices that pass the Microsoft Teams Device Certification Program carry the designation Certified for Microsoft Teams; Zoom's equivalent is the Zoom Hardware Certification Program, whose devices carry the Zoom Certified badge. Certification applies to the hardware, not to any installer, and it matters because certified devices are tested against the platform and supported through its update cycle. We specify rooms around certified hardware and check the current certification status of proposed models at specification stage, so the estate you buy is the estate the platforms support.

What network infrastructure do video-conferencing rooms need?+

Dependable rooms are as much a network exercise as an audiovisual one. Video calls are real-time traffic, so the network needs appropriate quality-of-service configuration; touch panels, scheduling screens and some devices draw Power over Ethernet, so switch capacity and PoE budgets matter; and room systems should sit within a security and segregation policy agreed with your IT team. We design the cabling, switching and configuration requirements alongside the room design and coordinate them with your existing infrastructure, so the rooms behave predictably from the first call rather than after weeks of tuning.

Can our meeting rooms be monitored and supported remotely?+

Yes. Crestron Flex systems can be provisioned, monitored and managed through Crestron's XiO Cloud service; Microsoft Teams Rooms estates with Pro licences gain the Teams Rooms Pro Management portal; and Zoom Rooms are managed through Zoom Device Management in the Zoom web portal. Used well, these platforms surface faults before the people in the room do, a disconnected camera or an unhealthy device raises an alert, not a support ticket. Some capabilities depend on the licences your organisation holds, and ongoing monitoring or managed support is agreed as part of the appointment where you want it.

How do room booking and scheduling panels work?+

A scheduling panel sits beside the door and shows at a glance whether the room is free, what is booked next and, where enabled, lets the room be reserved on the spot. Crestron's room scheduling touch screens, the TSS-770 and TSS-1070, are available in variants that run the Microsoft Teams panels app or the Zoom Rooms scheduling application, and Crestron's standard scheduling application integrates with calendars including Microsoft Exchange, Microsoft 365 and Google Calendar. Panels remove the two classic frustrations of shared rooms: not knowing whether a room is actually free, and meetings colliding at the door.

Can you standardise meeting rooms across a whole office?+

Yes, standardisation is usually the single most valuable decision in a meeting-room project. We develop a room standard for each size of space: the same controller in the same place, the same join experience, consistent displays, cameras and audio, and consistent cabling and documentation behind the scenes. Anyone who has used one room can use them all, support teams troubleshoot one design rather than a dozen, and procurement and spares become simpler. The standard is recorded in drawings and schedules, so it can be repeated accurately across floors, phases and future fit-outs.

Why do lighting and acoustics matter so much on camera?+

Because the far end experiences your room only through its camera and microphones. A bright window behind the table turns participants into silhouettes; hard finishes make speech boomy and tiring to follow; ventilation noise the room's occupants stopped noticing is amplified to everyone remote. We coordinate meeting-room technology with lighting quality, glare and shading, background-noise levels and finishes as part of the room design, often alongside our lighting and shading work, so people look and sound as professional to a client abroad as they do across the table.

Do you install and support the rooms, or design only?+
